Privacy Policy

At HINAPSYS E.A.S. ("HINAPSYS") we respect the privacy of the people we communicate with. This policy explains what personal data we process, what we use it for, who we share it with and how you can exercise your rights. The Spanish version of this policy is the governing one.

1. Data controller

2. Scope

This policy applies to the hinapsys.com website, our support channels —WhatsApp, email and phone—, our Telegram assistant and our communications with customers, prospects and suppliers.

When HINAPSYS provides a software or communications service to a client company and processes data on its behalf, that company is the controller of the data and HINAPSYS acts as processor, following its instructions. In that case, questions about the data should be addressed to the company you communicated with.

3. Data we process

  • Identification and contact: name, phone number, email address, company and position.
  • Content of communications: the messages, files, images and audio you send us through WhatsApp or other channels.
  • Messaging metadata: identifiers assigned by WhatsApp, date and time of messages and their delivery and read status.
  • Website browsing: IP address, browser type and pages visited, collected through cookies or analytics tools.
  • Commercial and tax data: what is needed to quote, invoice and deliver contracted services.

We do not ask for sensitive data such as health information or beliefs. Please do not send us passwords or full card details through messaging.

4. What we use it for

  • Answering inquiries and providing technical support.
  • Sending you notifications and messages about services you requested or contracted.
  • Preparing quotes, invoicing and complying with legal and tax obligations.
  • Protecting the security of our systems and preventing abuse.
  • Improving our services and website.

We do not sell personal data. We do not use the content of your conversations for advertising.

6. WhatsApp channel

Our WhatsApp channels run on the WhatsApp Business Platform by Meta Platforms, Inc. The messages you exchange with us are also processed by WhatsApp, under its own terms and privacy policy.

We only send you messages on our own initiative if you gave us your number and agreed to receive them. If you no longer want them, tell us in the same conversation or write to info@hinapsys.com and we will stop.

7. Telegram assistant (@hinapsys_bot)

HINAPSYS runs an assistant on Telegram, @hinapsys_bot, which takes part in work groups to summarize and organize what is coordinated in them. It only operates in groups that HINAPSYS expressly authorizes: if someone adds it to any other group, it leaves without storing anything.

In an authorized group, from the moment it joins, the assistant collects:

  • text messages, with their date, author and later edits;
  • voice notes, images and documents shared in the group (up to 20 MB per file).

It has no access to members' private chats or to other groups. Messages sent before it joined are only added in groups belonging to HINAPSYS or to organizations that authorize it: once, by importing the group's history, and after notifying its members.

We use that content to:

  • transcribe voice notes, on HINAPSYS's own equipment;
  • describe images and produce summaries of the group with an artificial intelligence service (Claude, by Anthropic, PBC);
  • archive it as internal documentation of the group's work, in private repositories with access restricted to the HINAPSYS team and kept separate per organization.

We keep it for as long as it is useful for the group's work. Once the assistant leaves a group, it stops collecting information from it.

Any member may ask to see, correct or delete their archived messages, or ask the assistant to leave the group, by writing to privacidad@hinapsys.com. A message deleted in Telegram is not removed from the archive automatically: that has to be requested.

Telegram also processes these messages, under its own terms and privacy policy.

8. Who we share it with

  • Meta Platforms, Inc., as the provider of WhatsApp.
  • Telegram, as the platform of our group assistant, and Anthropic, PBC, as that assistant's artificial intelligence provider.
  • Cloud infrastructure, email and website analytics providers that host or process data on our behalf.
  • Authorities, when required by law or court order.

Some of these providers store data outside Paraguay; we require them to provide an adequate level of protection. We do not transfer your data to third parties for their own purposes.

9. How long we keep it

We keep data for as long as it is needed for the purpose for which it was collected and, afterwards, for the periods required by tax and legal regulations. Once those periods expire, we delete or anonymize it.

10. Your rights

You may request access to your data, its correction or update and its deletion, and object to its processing, under the National Constitution of Paraguay (articles 33 and 135) and Paraguayan personal data protection regulations.

To exercise them, write to info@hinapsys.com stating your name and the phone number or email you used to contact us. We respond within 30 days at most.

11. How to request deletion of your data

  • Write to info@hinapsys.com with the subject "Data deletion", or make the request in the same WhatsApp chat where you talked to us.
  • Include the phone number or email address you used to contact us.
  • We verify that the request comes from the data subject and delete the data from our systems, except what the law requires us to keep, such as tax records.
  • We confirm through the same channel when the deletion is complete, within 30 days at most.

Deletion covers the data HINAPSYS stores. It does not delete the messages on your own phone or the information WhatsApp keeps under its policy.

12. Security

We apply reasonable technical and organizational measures to protect your data: restricted access, encrypted connections and permission controls. No system is completely secure; if we detect an incident affecting your data, we will inform you.

13. Minors

Our services are intended for businesses and adults. We do not knowingly collect data from people under 18.

14. Changes to this policy

We may update this policy. The current version is always the one published on this page, with its update date.
